Position Summary 

The Project Associate will provide technical, operational, and coordination support to the Project and Partnerships Department, with primary responsibility for supporting the implementation of ongoing projects. Working under the guidance of the Project Manager, the candidate will assist in project planning, field implementation, stakeholder coordination, documentation, reporting, research, and data management to ensure the timely and effective delivery of project activities. The Project Associate will work across multiple projects as required, supporting day-to-day implementation while ensuring compliance with organizational standards, donor requirements, and project timelines. 

Key Duties and Responsibilities: 

1. Project Coordination and Implementation:

The Project Associate will support the implementation and coordination of ongoing projects undertaken by the Project and Partnerships Department.

Responsibilities: 

  •  Support the implementation of ongoing projects in accordance with approved work plans, project timelines, and contractual requirements.  
  • Coordinate day-to-day project activities with project teams, consultants, municipalities, development partners, and other stakeholders.  
  • Assist the Project Manager in planning, scheduling, and monitoring project activities.  
  •  Maintain project implementation trackers and monitor progress against agreed 
  • milestones.  
  • Support logistical arrangements for meetings, workshops, consultations, trainings, and 
  • field activities.  
  •  Follow up on project action points and support timely completion of assigned tasks.  
  •  Provide implementation support across multiple ongoing projects as assigned by the Project Manager.  

2. Project Documentation and Reporting: 

The Project Associate will be responsible for ensuring that project documentation is maintained accurately and that reporting requirements are fulfilled throughout the implementation period. 

Responsibilities 

  •  Prepare project progress reports, activity reports, meeting minutes, field reports, and technical documentation.  
  •  Maintain project files, records, and supporting documentation in both digital and physical formats. 
  • Compile evidence required for donor reporting, project monitoring, and project close-out.  
  •  Prepare presentations, briefing notes, and other documentation to support project implementation.  
  •  Ensure timely submission of documentation in accordance with project and  organizational requirements

3. Research, Technical Support, and Proposal Assistance: 

The Project Associate will provide research and technical support to ongoing projects while contributing to organizational learning and future project development when required. 

Responsibilities: 

  •  Conduct literature reviews, policy reviews, and secondary research to support project implementation.  
  •  Assist in developing data collection tools, technical documents, methodologies, and implementation plans.  
  • Support preparation of concept notes, technical proposals, and project documentation when required.  
  • Compile technical information and project data for reporting and knowledge management.  
  • Contribute to research activities undertaken within ongoing projectcts

4. Field Coordination, Monitoring, and Data Management: 

The Project Associate will actively participate in project implementation through field coordination, monitoring, and data management activities. 

Responsibilities: 

  • Participate in field visits, surveys, consultations, assessments, and project monitoring activities.  
  • Coordinate field activities with municipalities, communities, consultants, project beneficiaries, and partner organizations.  
  • Assist in conducting surveys, Key Informant Interviews (KIIs), consultation meetings, workshops, and observational assessments.  
  • Collect, verify, compile, and manage qualitative and quantitative project data.  
  • Support data cleaning, analysis, interpretation, and preparation of analytical summaries.  
  •  Document field observations and prepare field visit reports with recommendations. 

5. Stakeholder Coordination and Consultation: 

The Project Associate will facilitate effective coordination among project stakeholders to support successful project implementation. 

Responsibilities 

  • Coordinate consultation meetings, stakeholder discussions, workshops, trainings, awareness programmes, and project events.  
  •  Coordinate with municipalities, government agencies, development partners, private sector organizations, academic institutions, consultants, and community groups.  
  • Prepare agendas, presentations, briefing notes, attendance records, and meeting minutes.  
  • Document stakeholder feedback and assist in integrating recommendations into project implementation.  
  • Maintain effective communication with project stakeholders throughout the project lifecycle.  

6. Monitoring, Reporting and Knowledge Management: 

Responsibilities: 

  • Support routine monitoring of project implementation against work plans and project indicators.  
  • Maintain implementation trackers and project databases.  
  • Compile supporting evidence required for project reporting.  
  • Assist in documenting lessons learned, case studies, and good practices from ongoing projects.  
  •  Support project evaluations and knowledge management initiatives where required.  

Required Qualifications:
Education: Bachelor’s degree in one or more of the following disciplines:
(Environmental Science, Environmental Engineering, Sociology, Development Studies,
Rural Development, Natural Resource Management, or any other relevant discipline.
(A Master’s degree in a relevant field will be considered an added advantage.)

Professional Experience:
● Minimum two (2) years of relevant professional experience in project implementation,
research, documentation, field coordination, or development projects.
● Experience working with municipalities, development partners, NGOs, INGOs,
consulting firms, or environmental projects will be an added advantage.

(Knowledge of KoboToolbox, SPSS, GIS, or other data analysis software will be considered an
advantage.)

Working Conditions
● The position is based at the Doko Recyclers office in Jawlakhel, Lalitpur with frequent
travel to project locations across Nepal.
● Field visits may require travel to remote municipalities and project sites.
● The selected candidate should be willing to travel, participate in field activities, and
occasionally work beyond regular office hours when required by project schedules.

Preferred Candidates:
Candidates with prior experience or demonstrated interest in the (Circular Economy and
Recycling, Solid Waste Management, Plastic Waste Management, Climate Change and
Environmental Sustainability, Urban Development and Municipal Governance, Research and
Policy Studies, Community Development and Livelihoods, Gender Equality and Social Inclusion
(GESI), Monitoring, Evaluation, and Learning (MEL)) thematic areas will be given preference.
